Start with the first work task
Imagine that the large suitcase becomes available only later. Which permitted items would let you handle the first appointment usefully? They might include your work device, essential documents and the correct charging cable. Base the selection on a concrete task rather than trying to prepare for every imaginable situation.
Then check the transport provider's current baggage rules. Dimensions, weight and unusual objects are not treated identically everywhere. Urgently needing an item does not automatically make it permitted in a particular form of carriage. Discuss unusual samples or equipment with the provider before travelling rather than discovering the issue at departure.
Organise electronics and papers deliberately
Protect the work device while keeping it accessible for required checks. Keep its matching cables together instead of carrying several unidentified chargers. For flights, EASA guidance places spare batteries and power banks in carry-on baggage with protection against short circuits. Also check the current requirements of the actual airline you are using.
Limit paper documents to what you genuinely need while travelling. Sensitive information belongs in the intended protected storage. An offline presentation may help if using it on the device follows your organisation's rules. Test it before departure rather than discovering a missing file in the meeting room.
Consider a bag being checked at the gate
If a bag must unexpectedly be handed over, essential personal work items and specially regulated objects should be easy to remove. Do not bury them beneath several layers of clothing. Follow the airline's and staff's instructions, particularly concerning batteries and electronic devices.
Keep the remaining bag manageable. An overloaded reserve kit can make orientation and transfers harder. After packing, check that you can carry everything yourself and reach the documents you need. A deliberately small set of equipment that enables the first task is often more useful than attempting to carry a complete second office in hand luggage.
