Use the designated pickup area
Check the event website or on-site information to see where taxis may stop. Visitor entrances, delivery gates and pickup areas can be in different places. Do not choose a meeting point simply because it looks close to your stand on a map. The driver may be unable to reach it. When booking, give the official pickup area and its street address if one is provided by the venue.
Assess luggage before requesting a car
Count passengers and larger bags. An ordinary car will not automatically accommodate three colleagues with a suitcase each and a product case. Describe bulky items when requesting the ride and obtain confirmation of a suitable vehicle. Discuss any particular access requirements in advance too. The number of available seats alone tells you little about whether all the equipment can be stowed safely for the journey you are planning.
Avoid waiting in two places at once
Choose one person to communicate with the taxi provider and one meeting point for the group. Someone still collecting a coat should not be counted as ready for pickup. Request the vehicle when you can realistically reach the agreed place, following the provider's conditions. If there is an official taxi queue, consider whether making a separate booking actually offers an advantage before adding another arrangement to coordinate.
Confirm pickup and destination separately
For a dispatched ride, compare the supplied vehicle details with the arriving car. Then give the full destination address rather than a hotel name that several properties might share. At a station, the desired side can matter too. If the pickup area is moved, follow official signs and update the provider clearly. Avoid sending changing locations while the group keeps walking; wait at one agreed place where vehicles are permitted to stop.
